Common Database / Mailing
The common database is the entire CampusTrakker database and contains all the data (tables) for the applications listed below. The users only interact with this database through forms and report tools called Front-End Applications. The common database is upgraded a few times a year when new tables or fields need to be added to support features in the front end applications, but for the most part it is changed by the data that is added to it by users of the system. The Mailing Module is the most widely used part of CampusTrakker and is comprised of a set of forms and reports that allow users to add information about students, parents, alumni or any other people associated with the school. Each person can be a member of any type and types can be created on the fly. Each person can be linked to an existing household and through this the user can build families based on address. The same is true for phone numbers. A new dynamic report writer allows the user to pull labels, class lists and more by class, by region or by types.
Classes & Transcripts
The classes module allow the user to create programs (1st grade, 2nd grade, etc.), and classes (Main Lesson, German, Eurythmy, etc.). Students are then admitted to the school, enrolled in each semester and registered for the classes they are part of. Grades (A+, A, A-, Pass, Complete, etc.) can be assigned and reports can be written for each registration. Program Lists, Class Lists, Reports for Parents, etc. can then be pulled and printed.
Online Reports / Grades
The Online Reports module is a set of Active Server Pages (ASP) that run on a Windows 2000/XP Workstation or 2000/2003 Server and that interact directly with the school’s database. Teachers can log on from anywhere in the world and see a list of the classes they are registered as teachers for. Once they select a class, they will see each student in the class and can assign a grade (or just pass / fail or complete / incomplete if they want) and write out a report for that student. Once they click save, that data is stored directly into the tables in the master database and is accessible to anyone logged on via the Windows FrontEnd. Program Reports can be easily generated for any Program, Student or Class.
AttendanceTrakker
AttendanceTrakker plugs into the common database and is based on current enrollment. It allows users with access to the interface to go program by program and date by date and assign tardiness and absences as well as people who leave early. Reports can then be pulled to see how many people were late on a given day, or how may times a given person was tardy during a certain time period, etc.
VolunteerTrakker
VolunteerTrakker is a tool that allows users to setup events, such as fall fairs or music festivals over multiple days (including rain dates). They can then setup activities for the event, such as grill, raffle booths, batting cages and more. Shifts are then assigned throughout the day, along with the number of volunteers needed for each shift. A volunteer pool is then assigned, based on types in the database (e.g. parents, step parents, and teachers). The user then assigns volunteers to activity shifts and can easily pull reports to see which shifts still need volunteers, who is signed up for each shift for each activity, etc.
TaskTrakker
TaskTrakker is a module that allows schools to keep trakk of various tasks and the follow-up required for each task. This module will also allow people to see tasks that they have assigned to them, with reminders and snooze, as well as being able to assign tasks to other users of the database for them to complete. This module will also act as EnrollmentTrakker and will trakk potential students through the entire enrollment process, from first contact with the school through open houses, applications, interviMWS and paperwork. It will give the school an easy way to keep trakk of which steps have been taken by which potential students, as well as giving them an easy way to find out everyone who has attended an open house or asked for an application but who has never submitted an application, for example. This module will be developed in association with Mark Lohss of the Chicago Waldorf School.
GiftTrakker
GiftTrakker plugs into the common database and is used to trakk gifts and pledges made to the school and can be linked to existing people in the database. It will be designed as an medium-level donor trakking package. This means that it is not designed to compete with the big boys in donor software, but will allow schools to create capital campaigns, record gifts in various pledge drives and to pull reports for their goals as well as Last Year, but Not This Year for pledge drives. Of course donors lists and exports for mail merges will be possible. The module will be developed by Trakkware in association with Tony Cirone at Green Meadow Waldorf School.

Trakk the details of a students performance in various areas.
EmployeeTrakker
EmployeeTrakker plugs into the common database and is used to trakk HR data, such as salary, employment start and end dates, position, etc. This module is not yet complete, but will be developed by Trakkware in association with Mark Lohss of the Chicago Waldorf School.
